ADI Pro (adipro.co.uk) is a trading name of AWN AppWorks LTD, a company registered in England and Wales, company number 17266867. Registered office: 66 Paul Street, London, EC2A 4NA, United Kingdom. Hereinafter referred to as "we", "us", "our", or "the Company".

AWN AppWorks LTD is the sole legal owner and publisher of ADI Pro. By using ADI Pro, you enter into a binding legal relationship with AWN AppWorks LTD as a limited company — not with any individual director, employee, or agent. This Privacy Policy, together with our End User License Agreement (EULA), Terms and Conditions, Terms of Use, Intellectual Property & Copyright Policy, and Cookie Policy, forms the complete legal framework governing your use of ADI Pro.

We are the data controller for the personal information we process through the ADI Pro platform. This Privacy Policy explains how we collect, use, share, and protect your personal data in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This policy applies to all users of ADI Pro, including:

  • Approved Driving Instructors (ADIs) — qualified instructors holding a valid DVSA green badge
  • Potential Driving Instructors (PDIs) — trainee instructors holding a valid DVSA pink (trainee licence) badge
  • School Owners — ADIs who manage a multi-instructor driving school on the platform
  • Learner Drivers (Students) — individuals registered to the platform by their instructor or school

2. Information We Collect

2.1 Information You Provide

  • ADI / PDI Account Information: Name, email address, password, ADI or PDI badge number, badge expiry date, instructor title, transmission type, gender (optional), profile photo (optional), display name, vehicle types, car details
  • Business Card Information: Phone number, email, school name, custom notes for your digital business card
  • School Information: School name, school code, logo, branding preferences, pricing structure, student terms and conditions, diary working hours
  • Learner Driver (Student) Account Information: Full name, email address (optional), phone number (optional), provisional driving licence number (optional), address (optional), pickup point (optional), profile photo (optional)
  • Financial Records (ADI / PDI): Income entries (amounts, dates, student names, payment types), expense entries (amounts, dates, categories, receipt images), mileage records
  • Messages: Text messages, photos, and videos sent between ADIs/PDIs and students, and between instructors within a school
  • Lesson Data: Diary entries, lesson notes, mock test results, progress percentages, booking requests
  • Whiteboard Content: Saved drawings and uploaded assets
  • Support Messages: Any correspondence you send to us or through the in-app support features

2.2 Information Collected Automatically

  • Usage Data: Pages visited, features used, buttons clicked, and time spent in the application
  • Device Information: Browser type, operating system, device type, and screen resolution
  • Session Data: Login timestamps, session tokens, and authentication events

2.3 Information from Third Parties

  • Stripe: Payment confirmation data, subscription status, customer identifiers, and Stripe Connect account IDs (we do not receive or store your full card number)

3. How We Use Your Information

  • Providing the Service: Managing your account, scheduling lessons, processing bookings, displaying student progress, enabling communication between users, and all platform features
  • Subscription Management: Processing subscription payments, managing billing, and providing access to premium features
  • Notifications: Sending lesson reminders (via email or SMS), booking confirmations, and service updates
  • AI Assistant: Processing your messages to generate relevant responses (messages are sent to OpenAI for processing — see Section 5)
  • Financial Reporting: Generating income, expense, mileage, and profit reports to help ADIs and PDIs with tax preparation
  • School Management: Enabling instructor invitations, student transfers, inter-instructor payments, and school-wide administration
  • Improving the Service: Analysing usage patterns to improve features, fix bugs, and develop new functionality
  • Security: Detecting and preventing fraud, unauthorised access, and misuse
  • Legal Compliance: Meeting our obligations under applicable laws and regulations

3.1 Legal Basis for Processing (UK GDPR)

  • Contract: Processing necessary to provide the Service you have signed up for (Article 6(1)(b))
  • Legitimate Interests: Improving the Service, security monitoring, and analytics (Article 6(1)(f))
  • Consent: Where you have given explicit consent, such as for SMS notifications (Article 6(1)(a))
  • Legal Obligation: Where required to comply with law (Article 6(1)(c))

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share your data with:

  • Your ADI / PDI / School: Student data (name, contact details, lesson history, progress, booking requests) is shared with the ADI or PDI and school you are registered with. This is necessary to provide the Service.
  • Other ADIs and PDIs in Your School: If you are part of a multi-instructor school, the School Owner may view student records. Student transfers between instructors will share relevant student data with the receiving instructor.
  • Your Learner Drivers (Students): Your display name, profile photo, business card details, available time slots, and lesson notes are visible to students registered with you.
  • Stripe (Payment Processor): Subscription billing and Stripe Connect data is processed by Stripe Inc. Payments appear on your statement as "AWN AppWorks LTD".
  • OpenAI (AI Provider): When you use the AI Assistant, your messages are sent to OpenAI for processing. We do not send your account details, financial records, student data, or other personal information — only the text you type in the AI chat.
  • Twilio (Communications): Phone numbers and message content may be processed by Twilio for SMS lesson reminders and notifications where you or your ADI/PDI have enabled SMS notifications.
  • HMRC (Making Tax Digital): If you connect your HMRC account via the MTD feature, your OAuth tokens are stored securely. When you submit quarterly updates, your income and expense totals are transmitted to HMRC's APIs. We do not share data beyond what is required to complete MTD submissions you explicitly initiate.
  • Legal Authorities: We may disclose information if required by law, court order, or government regulation.

5. AI Assistant and Data Processing

5.1 The AI Assistant is powered by OpenAI's language models. When you send a message, your message and recent conversation history within that session are sent to OpenAI's servers for processing.

5.2 We do not send any of the following to OpenAI: your name, email, phone number, ADI/PDI badge number, financial records, student data, diary entries, or any other account data. Only the text of your AI chat messages is transmitted.

5.3 AI conversation history is not permanently stored on our servers. It exists only in your browser session and is cleared when you close the chat.

5.4 OpenAI may process data on servers located outside the UK. By using the AI Assistant, you acknowledge and consent to this international data transfer.

5A. Intellectual Property Ownership

ADI Pro — including all software code, design, user interface, lesson content, syllabus materials, images, icons, logos, text, whiteboard assets, brand identity, and all other elements of the platform — is the exclusive intellectual property of AWN AppWorks LTD, protected by the Copyright, Designs and Patents Act 1988 and the Trade Marks Act 1994.

The ADI Pro name and logo are registered trademarks of AWN AppWorks LTD, registered with the UK Intellectual Property Office (UKIPO). Unauthorised use of the ADI Pro name, logo, or brand is strictly prohibited.

You may not copy, reproduce, distribute, modify, reverse engineer, or exploit any part of ADI Pro without our prior written consent. For full details, see our Intellectual Property & Copyright Policy.

5B. Data Loss and Service Availability — Disclaimer

Important Disclaimer

While AWN AppWorks LTD takes reasonable measures to protect and maintain data stored on ADI Pro, we cannot guarantee the permanent retention, security, or availability of your data. You are responsible for maintaining your own backups of important data.

5B.1 ADI Pro is provided on an "as is" and "as available" basis. AWN AppWorks LTD shall not be liable for any loss of data — including diary records, student data, financial records, messages, lesson notes, whiteboard saves, or any other content — caused by server failure, maintenance, software bugs, accidental deletion, or any other technical issue.

5B.2 We strongly recommend that all ADIs and PDIs regularly export their financial records, income and expense data, and student information using the export features provided within the platform.

5B.3 AWN AppWorks LTD maintains database backups as part of our infrastructure, but the restoration of lost data cannot be guaranteed in all circumstances. We strongly encourage users to export their data regularly.

6. ADI / PDI Data Controller Responsibilities

Important — For Approved and Potential Driving Instructors:

As an ADI or PDI, you are also a data controller under UK GDPR for the student personal data you collect and manage through ADI Pro. You are responsible for ensuring you have a lawful basis to collect and process your students' data, informing your students about how their data is used, and complying with UK GDPR in your own capacity as a self-employed business or school.

We recommend that you:

  • Set clear student terms and conditions using the School Settings feature
  • Inform students about what data you collect and why
  • Only collect student data that is necessary for your teaching business
  • Respond to student data requests (access, deletion) within 30 days as required by UK GDPR
  • Keep student records accurate and up to date

7. Data Security

We implement industry-standard security measures to protect your personal information, including:

  • Encrypted data transmission (HTTPS/TLS) for all communications
  • Secure password hashing (Argon2) for stored credentials
  • Secure session management with expiring tokens
  • Access controls to limit data access to authorised users only
  • Regular security reviews and updates

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

8. Your Rights (UK GDPR)

Under the UK GDPR, you have the following rights regarding your personal data:

  • Right of Access: Request a copy of the personal data we hold about you.
  • Right to Rectification: Ask us to correct any inaccurate or incomplete data.
  • Right to Erasure ("Right to be Forgotten"): Request deletion of your personal data, subject to our legal obligations.
  • Right to Restrict Processing: Ask us to limit how we use your data in certain circumstances.
  • Right to Data Portability: Request your data in a structured, commonly used, machine-readable format.
  • Right to Object: Object to processing based on legitimate interests or for direct marketing purposes.
  • Right to Withdraw Consent: Withdraw consent at any time without affecting the lawfulness of prior processing.

If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Data Retention

  • Active Accounts: Data is retained for as long as your account is active and you use the Service.
  • Inactive Accounts: If your account is inactive for more than 24 months, we may contact you before deleting your account and associated data.
  • Cancelled Subscriptions (ADIs / PDIs): Your account data is retained for 90 days after subscription cancellation, after which it may be deleted unless you resubscribe.
  • Deleted Accounts: Upon account deletion, personal data will be deleted within 30 days, except where we are required to retain records for legal or regulatory purposes.
  • Financial Records: ADI and PDI financial records (income, expenses, mileage) may need to be retained for up to 7 years to comply with HMRC record-keeping requirements. We recommend exporting your data before deleting your account.
  • Messages: Messages between users are retained for the duration of both users' accounts.
  • AI Conversations: Not permanently stored. Cleared when the chat session ends.

10. International Data Transfers

Your data may be transferred to and processed in countries outside the UK:

  • OpenAI: AI chat messages may be processed in the United States.
  • Stripe: Payment processing may involve servers in the US and EU.
  • Cloud Infrastructure: Our database and hosting providers may process data in the EU or US.

Where data is transferred outside the UK, we ensure appropriate safeguards such as Standard Contractual Clauses (SCCs) or UK adequacy decisions.

11. Cookies and Similar Technologies

We use cookies and similar technologies to:

  • Essential Cookies: Maintain your login session and remember your authentication state. These are strictly necessary for the Service to function.
  • Preference Cookies: Remember your settings and preferences within the application.

12. Children's Privacy

ADI Pro is intended for use by individuals aged 16 and over (the minimum age to hold a provisional driving licence in the UK). We do not knowingly collect personal information from children under 16. If we become aware that we have collected data from a child under 16, we will take steps to delete it promptly.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons.

When we make significant changes, we will notify you via email or through the Service. Your continued use of the Service after changes constitutes acceptance of the updated policy.
